General Description

The Firefly Gathering is a 501(c)(3) nonprofit providing educational and cultural programming to the Asheville area since 2007. The Firefly Gathering envisions a world where everybody is empowered with multi-generational perspectives, wisdom and earthskills, handcrafting a beautiful and harmonious reality in which all beings thrive. Our mission is to inspire and empower the people of the Southeast by offering opportunities to connect with self, community and the natural world through year-round earthskills workshops and gatherings.

The Annual Gathering (AG) Donations Coordinator will work with the Executive Director (ED) and other Staff Members to procure items needed for the AG. This important role helps to decrease expenses and keep Firefly solvent. This role also tends to donor relations, sponsorship coordination, donor solicitation campaigns, donor appreciation, outreach to businesses for in-kind donations, and coordination/support of fundraising events, specifically the Equity Raffle on Saturday evening at the event.

 

Hours & Compensation

This is a part-time, employee position for the Annual Gathering at first, but could expand into the whole year with funding. This role requires approximately 2-10 hours of work per week, with the number of hours required each week varying based on upcoming programs and events. Hours required will increase in the months leading up to our Annual Gathering and may go up to as many as 20 hours per week in June. Employees are responsible for managing, tracking and submitting their own hours in the manner directed. Position is remote except for a few in person AG staff meetings in the months around the July gathering. 

Pay will increase automatically each year according to Firefly’s Pay Scale.

Maximum total hours: 125 from February 1, 2025 through July 31, 2025, excluding the below event contracted hours

Event contracted hours: 25 hours for July 2-14, 2026

Total annual hours: 150

Job Duties

AG Donations & Sponsorships 

  • Seek financial, in-kind service, and goods donations and sponsorships which will support Firefly’s Annual Gathering and all the folks that make things happen (staff, instructors, volunteers, worktraders, and community members)
    • Help secure good deals on rentals using 501c3 pitch
  • Secure all donations for the Gathering and arrange schedule for all physical donations to get picked up, brought to the event, and returned (if needed)
    • manage work trader(s) for pickups 
  • Work with the ED to procure items for and organize the Equity Raffle at the Annual Gathering 
    • manage work trader(s) for the raffle 
  • Ensure donors and sponsors have their info mentioned in the agreed upon ways (work with marketing)
  • Maintain Donor Tracking sheets that includes donations for given years and the organization’s contact information and other pertinent details
  • Maintain Timeline & Footnotes 

Donor Relations 

  • Maintain a current list of donors on the donor tracking sheet
  • Maintain current sponsor relationships, including sending thank you letters after donations are received when acknowledgements are not sent automatically
  • Establish relationships with new sponsors

  • Local to the Asheville area
  • Passionate about Firefly’s Mission
  • Dedication to personally and professionally pursue JEDI work (justice, equity, diversity and inclusion)
  • Clear and kind communicator
  • Open to giving and receiving feedback
  • Experience with relationship building and solicitation
  • Effective, kind and timely communicating over phone and email
  • Comfortable being told “no” multiple times without taking it personally 🙂
  • Being organized with information and having great follow through and follow-up skills

 

Preferred Experience / Qualities

  • Professional and tactful interpersonal skills with the ability to interact with a variety of personalities
  • Has attended a Firefly program or event
  • Cherishes building and maintaining relationships
  • We can train you, but extra points for experience with Google Drive
