Credit & Cancellation Policy

If you’re unable to use your ticket, you have two options:

1) Get credit for future events and classes. The credit is a dollar amount that can be applied towards any ticket (while tickets last) and is not an actual ticket. Credit is valid for 3 years.

2) Transfer your ticket to someone else.

To receive credit or to transfer your ticket to another person, notify us in writing by email at registration@fireflygathering.org by 2 weeks prior to arrival day for the annual gathering and 7 days prior to class for perennial (year round) classes. Exceptions will be made for positive covid tests, contact with someone who has tested positive with covid, or another communicable illness. For any Perennial Workshop, exceptions are also made in the case that cancellation of the class occurs on behalf of the Firefly Gathering.

Email us at registration@fireflygathering.org to redeem your credit. We do not offer refunds. There are no credits for no-shows.

Firefly retains the right to cancel events at any time due to public health concerns or other unforeseen circumstances. In the event of a cancellation, all tickets will automatically become credit for future events and classes.

The Firefly Gathering wants all of our participants to feel safe and empowered in their bodies, hearts, and minds. To this end, our community will actively address language or behavior that is non-consensual, racist, sexist, homo/transphobic or harmful in any way, and if need be remove folks from a Perennial Workshop. We ask that you help facilitate a safe and inviting experience for your fellow attendees by being aware of your own language, attitude and behavior. Please alert us if you witness any issues that may need our attention.

It is our goal that everyone here feel safe, heard, supported and free. If at any time you do not feel comfortable at a Perennial Workshop, please speak with the class representative. Please communicate respectfully, even when you disagree, listen with an open mind and heart, and express  your gratitude.

Public Safety Agreement - Perennial Workshops

Thank you for your support in our ongoing efforts to keep each other healthy and safe. Please read through and familiarize yourself with the following guidelines:

To protect other workshop participants, please stay home if you are at risk of spreading Covid-19 or any other communicable illnesses. Please see our Credit Policy (above) for credit and transfer options in the event that you cannot make it to a class. 

We are currently focusing on scheduling outdoor classes and as Buncombe County is no longer enforcing a mask mandate, masks are currently optional at perennial workshops (we will have some available for anyone at any time).

At the start of each class, in an ongoing effort to cultivate a culture of respect and consent, we will offer colored lapel ribbons to all class participants which will indicate the level of comfort folks have with distance requirements in general. Please pay attention to other’s color choices and respect their preferences. 

  • Red: I prefer social distancing/personal space whenever possible.
  • Yellow: Please ask consent before entering my personal space. 
  • Green: I welcome others into my personal space.

Public Safety Agreement - Annual Gathering

We at Firefly Gathering have been monitoring current events over the past several months so we can make well informed decisions about how to keep our community safe while still coming together. As a part of our Public Safety Agreement, all individuals over the age of 3 years will be required to show a negative Covid test result before going through registration. Accepted time frame before arrival, a list of accepted tests, and other specifics are stated below. You can see a full description of our Covid Policy here, which will also be included in your welcome letter upon pass purchase. 

To protect others please stay at home if you are at risk of spreading Covid-19 or another communicable illness. This includes being exposed to someone who you know to have been infected, in addition to having symptoms yourself or testing positive. If you are not able to attend a class due to Covid-19 or another illness, please let us know as soon as you can. See our Credit Policy above for credit and transfer options. If it is within 14 days of your event, call us at 828-237-2551.

Required upon entry:

  • PCR Tests must be taken within 4 days of arrival. Bring a copy of your negative test results with you to the gate. The results must show the date of the test and the name of who was tested.

  • Rapid at-home tests should be taken within 24 hours of arrival.

    • Taken at home: Write your name and the date on the side of the test result strip with a pen or marker. Bring either your test result strip or a clear photo of the test result as well as the person being tested in the photo.

    • Testing at the event: We welcome onsite testing, if you want to bring your unopened at-home test kit with you. There will be a testing station available at registration with someone to help guide you through the process.

Parental & Guardian Consent - Annual Gathering

You are fully responsible for your children at all times during the Gathering. Any care that Firefly staff & volunteers provide is purely supplemental and educational. If your family decides to participate in Youth Village programs, you agree to attend a parent orientation to inform yourself of the program’s expectations and do your best to follow them.

Onsite Parking Fees - Annual Gathering

Parking and shuttle are available at no extra charge at our satellite parking field, where registration is located. If you want to drive or park onsite, you will be charged an additional fee upon arrival at registration, and will not be allowed to drive onsite without an onsite driving/parking pass.

Onsite Parking Passes are limited and may not be available when you arrive at registration. We encourage you to purchase on-site parking passes, car camping and RV parking passes prior to the gathering here.

We have limited additional RV spots available. You can purchase those here.
